Position Description:
This position is responsible for managing the daily operations of the University of Louisville School of Medicine Palliative Medicine Clerkship, Palliative Medicine Fellowship, and Endocrinology Fellowship programs. The individual in this position will manage about 150 clerkship students, 1 - 2 Palliative fellows, and 4 Endocrinology fellows. The individual in this position works with their respective program directors and other members of the leadership teams to implement curriculum, program policies, procedures, and processes that are compliant with relevant national, state, and institutional guidelines.
Duties and Responsibilities
Clerkship duties include:
- Assign each student to three separate clinical assignments and manage schedule requests
- Manage student and preceptor evaluations
- Compile, calculate, and submit grades for all required rotations, selectives, and electives
- Frequent communication with the Office of Student Affairs, maintain records, grades, and schedules in accordance with LCME and SOM standards
- Communicate with all students prior to start of their rotations regarding general information and schedule
- Assist students with questions and concerns they have about the clerkships
- Process domestic visiting student applications on VSAS (Visiting Student Application Service)
Fellowship program duties include:
- Assist program directors with management of the fellowship training programs, including all required reporting in multiple software systems as mandated by the GME Office and ACGME, and maintain compliance with accreditation guidelines
- Oversee daily operational activities and special program activities
- Manage program data in hardcopy files and online systems
- Respond to inquiries regarding the fellowship and other training issues
- Coordinate conferences and rotation schedules for faculty and fellows and ensure all mandated training requirements are being met
- Coordinate travel to annual meeting
- Work with division Coordinator and department Financial Team to track all fellowship expenses, including allowed reimbursements for travel, procard charges, and other expenses related to the fellowship program
- Monitor completion of program requirements, alerting residents regarding deficiencies, notify program director of issues
- Maintain confidential records of current and former fellows, provide timely verification of program completion for other organizations
- Distribute monthly evaluations of fellows, faculty, and program to monitor performance and identify areas for program improvement
- Coordinate the logistics for the annual recruitment, interview, onboarding, and offboarding processes for fellows
- Coordinate annual graduation dinner
- Provide administrative support for all fellow-related matters
- Handle incoming business for the Program Directors including maintaining CV updates
Target Compensation Maximum:
$31.71
Target Compensation Minimum:
$17.84
Compensation will be commensurate to candidate experience.
